We are seeking a highly organized and detail-oriented individual to join our team. As a Front Office Secretary, you are one of the first points of contact for our agency. Responsibilities include greeting and assisting clients, visitors and staff, answering and properly directing incoming phone calls, checking in clients for appointments, rescheduling appointments and making appointment reminder calls. Must possess excellent customer service and interpersonal skills and the ability and flexibility to handle a wide range of tasks.<\/p>\n

Locations:<\/strong> 140 North Frontage Road, Mansfield Center, CT 02650 and<\/p>\n

303 Putnam Road, Wauregan, CT 06387<\/p>\n

What You Will Do (Day-to-Day):<\/strong><\/p>\n

    \n
  • Greet and assist clients, visitors, and staff in a professional and friendly manner.<\/li>\n
  • Answer, screen, and appropriately direct incoming phone calls.<\/li>\n
  • Check clients in for scheduled appointments and ensure accurate information is maintained.<\/li>\n
  • Schedule, reschedule, and confirm client appointments.<\/li>\n
  • Make appointment reminder calls to clients as needed.<\/li>\n
  • Provide general administrative and clerical support to agency staff.<\/li>\n
  • Maintain a clean, organized, and welcoming reception area.<\/li>\n
  • Assist with handling inquiries and directing individuals to appropriate resources or departments.<\/li>\n
  • Demonstrate excellent customer service while managing multiple tasks and priorities in a busy environment.<\/li>\n
  • Maintain confidentiality and professionalism when handling sensitive information.<\/li>\n<\/ul>\n

    Schedule:<\/strong><\/p>\n

    Monday – Thursday 12:30 p.m.- 8:00 p.m. (Part-time 28 hours per week) Bilingual Fluency Preferred:<\/strong> Fluency in both Spanish and English is preferred (Mansfield Center location)<\/p>\n

    Friday 8:00 a.m.- 3:00 p.m. (Part-time 32.5 hours per week) (Wauregan location)<\/p>\n

    Hourly Pay Range:<\/strong> $17.27-$19.54 per hour (based on experience)<\/p>\n

    Bilingual Spanish\/English Fluency:<\/strong> $18.14-$20.53 per hour (based on experience)<\/p>\n

    Minimum Requirements<\/strong>: Associates degree in relevant field or high school diploma and two years of experience.<\/p>\n
